Executive Assistant / Office Manager

PureWow.com is hiring an Executive Assistant / Office Manager to work closely with our CEO in New York City. If you’re a recent grad, underutilized business analyst or experienced EA looking for a fast-paced immersion into the digital publishing/media world, this role may be for you.

You must be extremely organized, have pitch-perfect communication skills as well as a reckless disregard for time constraints. You will shadow the CEO in order to manage a constantly changing to-do list of priorities and deadlines. You’ll juggle multiple calendars and phone lines. You’ll source vendors and partners for an array of projects, from the mundane/trivial to mission-critical opportunities. As your understanding of our business grows, you will tackle an increasing number of tasks yourself, eventually planning and managing larger projects and programs across PureWow.

This is an intense position with unlimited growth opportunity for an intelligent hard worker.

Responsibilities:

  • Manage the CEO’s calendar as well as multiple office / department calendars that are constantly changing
  • Arrange and coordinate meetings and events, as well as both personal and professional reservations and trips
  • Proactively manage the CEO’s schedule throughout the day, ensuring that he is where he needs to be, prepared for the meeting in advance, and ready to seize opportunities where they appear
  • Manage your own and the CEO’s to-do lists, helping to cross off tasks where you can; ensure that you and the CEO are doing the tough stuff first, the important stuff next, and the frilly stuff last
  • Tackle various and sundry digital and tech problems/glitches/setups
  • Create high-quality presentations/spreadsheets/other docs, and iterate through edits with the CEO and other PureWow executives
  • Run calls in lieu of the CEO; be the main contact for vendors and contractors
  • Manage a network of contacts and new business opportunities; arrange social engagements with those contacts to keep momentum
  • Monitor a stream of emails for to-dos and relevant information
  • Run errands that contribute to the CEO’s general productivity
  • Manage the office - supplies, vendors, group activities; all things to keep the general health and maintenance of our startup running properly

Qualifications:

  • You must truly thrive on multi-tasking. Someone’s arrived for a meeting, the phone is ringing, and the CEO is asking you a question at once. You’re not overwhelmed. You don’t cry in public
  • Already a master of the “technical” skills of being an assistant in an extremely fast-paced environment: answering phones, handling deliveries, running errands, coordinating travel, organizing conferences. We use Google-based email, calendar, contacts, to-do lists and Google docs for word processing, presentations and other collaborative work
  • Must be Mac savvy to keep up. For real.
  • Expert Googler. Inquisitive researcher.
  • Has high level of capabilities when it comes to managing priorities and deadlines
  • Not above making reservations, running errands, and creating itineraries
  • Super-high-level energy
  • Attention to detail
  • Excellent communication skills, both verbal and written
  • You’re not turned off by this job description
